Venue confirmation happens 60 days before your wedding after final payment is complete and your onsite coordinator is assigned. The earlier you secure dates and communicate preferences, the better your venue selection. Of course, you could pay the deposit earlier and have these secured when you sign your contracts.

Outside Vendor Fees
Want to bring your own photographer, DJ, or florist? $1,500 USD outside vendor fee per vendor, per service, per day if they’re not on AVA’s preferred list.
Additionally, each vendor staff member requiring hotel access needs a Vendor Day Pass (covers one person, one day). All outside vendors must register under REPSE (Registry of Providers of Services) to work at AVA.
The Vendor Fee Waiver Option
You CAN waive vendor fees for photographer, videographer, hair/makeup artist, and DJ (with no equipment) IF each vendor books as a guest in your room block for minimum 3 nights. Individual reservations required per person.
Important exception: Audiovisual and DJ services still incur the $1,500 USD vendor supervision fee per day even if they’re resort guests.
