Client TERMS AND CONDITIONS

These Terms and Conditions govern the relationship between Travel Agent Becky LLC d/b/a Travel Agent Bevky (“we,” “us,” “our,” or “Agency”) and you, the client and traveler. By booking travel services through us, you agree to these terms and acknowledge that we act as a booking agent for hotels, resorts, cruise lines, airlines, tour operators, and other travel suppliers (“Suppliers”). We’re not the source or provider of the actual travel services—we’re your expert advocate connecting you with partners.

1. BOOKING AUTHORITY AND ACCURACY

You confirm that you’re at least 18 years old and authorized to make these travel bookings. You’re financially responsible for all reservations made for yourself and your travel party, and you warrant that all information provided is accurate and complete. We trust you’re making legitimate bookings—speculative, false, or fraudulent reservations are prohibited.

All bookings are made on behalf of Suppliers, and their separate terms and conditions apply to your reservation. You agree to abide by the terms of any Supplier you’ve selected for your trip.

2. PAYMENTS, CANCELLATIONS, AND REFUNDS

You’re responsible for all charges, fees, taxes, and assessments related to your travel bookings. By providing payment authorization, you allow us to purchase travel products from Suppliers on your behalf.

Here’s what you need to know about money matters:

Payment Deadlines: All payments are due according to each Supplier’s schedule. Missing final payment or violating booking conditions may result in cancellation of your reservations, denied access to travel services, or forfeiture of payments made.

Cancellations: All cancellation requests must be submitted in writing. Cancellation penalties from both our Agency and Suppliers will apply. Some bookings are 100% non-refundable once confirmed.

Chargebacks: Except in cases of fraud, you agree not to dispute charges with your bank or credit card company to avoid legitimate booking terms. If you attempt a chargeback on an authorized payment, we reserve the right to collect all associated costs, including attorney fees.

Our Agency Fees (Non-Refundable):

  • Fees are always non-refundable and will have a contract associated with them, clearly defining the agreement.

3. TRAVEL DOCUMENTS AND IDENTIFICATION

Your Responsibility: You must obtain and carry valid passports, visas, and all required documentation. When traveling domestically or internationally, TSA and DHS require acceptable identification to board flights. Visit tsa.gov/traveler-information/acceptable-ids for current requirements.

Critical Details: The name, date of birth, and gender on your ID must exactly match your airline tickets and booking records. Any discrepancy may result in denied boarding or delays that cause you to miss flights and subsequent travel arrangements.

When You Receive Travel Documents: Review everything immediately for accuracy. Contact us right away if corrections are needed.

Passport Validity: Many countries won’t admit travelers whose passports expire within six months of their return date. Non-US citizens may need additional documentation—inform us if you’re traveling on a non-US passport.

Visas: We don’t control visa issuance or approval. If a visa isn’t issued, we’re not responsible for lost payments. Entry and exit rules change constantly, so stay informed.

Traveling with Children: Minors need travel documents too. Those traveling with one parent or without both parents may need authenticated consent forms. Visit help.cbp.gov for details.

4. ENTRY REQUIREMENTS AND CRIMINAL RECORDS

Each country has its own rules about admitting travelers with criminal records. If you have a current or prior offense, contact that country directly about entry requirements. Visit travel.state.gov for more information. We respect your privacy and don’t inquire about criminal history, but certain convictions (like DWI for Canada) may affect entry—research requirements before booking.

5. PROHIBITED ITEMS AND SAFETY REGULATIONS

Hazardous Materials: Federal law prohibits hazardous materials on aircraft (explosives, compressed gases, flammable materials, etc.). Violations can result in imprisonment and fines up to $250,000. Limited exceptions exist for small quantities of medicinal and toilet articles. Visit tsa.gov/traveler-information/prohibited-items for the complete list.

Insecticide Treatment: Some countries require aircraft cabin treatment with insecticides. Check the DOT’s updated list at dot.gov/office-policy/aviation-policy/aircraft-disinsection-requirements.

6. HEALTH AND IMMUNIZATIONS

You must have proper immunizations and health screenings before travel, plus required documentation. We’re not responsible for verifying your health compliance—that’s between you and your healthcare provider. Check travel.state.gov and cdc.gov/travel for destination-specific health requirements. If you have concerns about medications or inoculations, consult your doctor before booking.

7. AIR TRAVEL REQUIREMENTS

We don’t control airline schedules or changes. Some destinations require cash-only departure taxes. Failure to use a reservation may cancel all continuing and return flights and forfeit airfares. E-tickets expire one year from issue date unless otherwise specified and are non-refundable and non-transferable.

Check-in Times: Arrive at least 2 hours early for domestic flights and 3 hours early for international flights. Reconfirm flights 24 hours before domestic departures and 72 hours before international departures.

8. CORRECTIONS AND AVAILABILITY

We reserve the right to correct pricing errors or omissions. All offers and promotions are subject to availability and may change without notice. Book early to secure the best rates and avoid disappointment.

9. UNUSED ARRANGEMENTS AND ITINERARY CHANGES

When prices are based on contracted rates, you won’t receive refunds for unused portions of travel. Some group tours require minimum passenger numbers—if numbers fall short, surcharges may apply or the tour may be canceled.

Changing Your Mind: If you want to change confirmed arrangements before or during your trip, we’ll help where possible, but some bookings can’t be modified. All change requests must be submitted in writing.

Supplier Changes: Suppliers may alter itineraries for reasons including severe weather. Any such changes are at the Supplier’s sole discretion, and we bear no responsibility for them.

10. OUR ROLE AND LIMITATIONS OF LIABILITY

Let’s be clear about what we do: We’re booking agents who connect you with Suppliers. We don’t control their operations, and each Supplier is an independent entity with its own management.

BECAUSE WE ACT AS AGENTS AND DON’T CONTROL SUPPLIER OPERATIONS, WE’RE NOT LIABLE FOR PERSONAL INJURY OR PROPERTY DAMAGE ARISING FROM TRAVEL SERVICES. WE DISCLAIM LIABILITY FOR ANY DIRECT, PUNITIVE, SPECIAL, CONSEQUENTIAL, INCIDENTAL, OR INDIRECT DAMAGES CONNECTED TO SUPPLIER SERVICES, INCLUDING ANY ACTS, ERRORS, OMISSIONS, INJURIES, LOSSES, ACCIDENTS, DELAYS, OR IRREGULARITIES—WHETHER CAUSED BY SUPPLIER FAULT, NEGLIGENCE, OR OTHERWISE. THIS INCLUDES SUPPLIER FAILURE TO DELIVER SERVICES, CANCELLATION AND REFUND POLICIES, FUEL INCREASES, BANKRUPTCY, CESSATION OF OPERATIONS, AND OTHER MATTERS OUTSIDE OUR CONTROL.

Maximum Recovery: Any recovery from us is limited to the actual commission and fees we received for your booking.

11. TRAVEL RISKS AND SAFETY

Travel involves inherent risks, and some destinations carry greater risk than others. Stay informed about current events and review travel warnings issued by the US Government before booking. Find current information at state.gov, tsa.gov, dot.gov, faa.gov, cdc.gov, and cbp.gov.

Register with the Smart Traveler Enrollment Program (STEP) at step.state.gov so the US Government can assist you in emergencies abroad.

BY BOOKING TRAVEL TO ANY DESTINATION, YOU ACKNOWLEDGE THAT WE DON’T WARRANT THAT TRAVEL THERE IS WITHOUT RISK. WE’RE NOT LIABLE FOR COSTS, DAMAGES, OR LOSSES RESULTING FROM TRAVEL TO THESE DESTINATIONS. YOUR PARTICIPATION CONSTITUTES ACCEPTANCE OF THESE RISKS.

For trips we escort, we have sole discretion to proceed, alter itineraries, or cancel based on emergent health or safety concerns.

12. FORCE MAJEURE

We’re not liable for failure to perform obligations due to circumstances beyond our control: acts of God, accidents, riots, war, terrorism, epidemics, pandemics, quarantine, civil unrest, facility breakdowns, natural catastrophes, extreme weather, governmental actions, law changes, strikes, fires, explosions, or material shortages.

Travel Insurance Is Highly Recommended: Our Suppliers also have force majeure provisions and may vary, postpone, or cancel arrangements at their discretion. Any refunds remain at the Supplier’s sole discretion, though we’ll use reasonable efforts to secure reimbursement where possible.

13. CLIENT CONDUCT

Act responsibly and follow all behavior guidelines. We and our Suppliers reserve the right to remove you from any facility, tour, or transportation if your health or conduct endangers yourself or others, disrupts other travelers, or interferes with operations or security. No refunds will be provided in such cases.

You’re responsible for any damage or loss you cause and must pay directly to the property owner or manager. You must indemnify us for any claims made against us due to your actions. We’re not responsible for costs related to removing a guest from travel arrangements. Baggage and personal effects are always your sole responsibility.

14. TRAVEL INSURANCE

We strongly recommend comprehensive travel insurance to protect your investment against supplier default, bankruptcy, delays, interruptions, missed connections, cancellations, medical emergencies, evacuation, repatriation, lost baggage, illness, job loss, accidental death, disability, and more.

Without insurance, if you cancel or interrupt your travel for any reason, you may lose significant money—up to the full cost of your trip. Cancellation penalties apply regardless of circumstances.

We’re not licensed insurance brokers and can’t answer technical questions about policy benefits, exclusions, or conditions, nor evaluate your existing coverage adequacy. Insurance costs are additional. We cannot guarantee any insurance provider will approve claims and make no representations about coverage extent.

15. FINAL PAYMENT RESPONSIBILITIES

Final payment must be received by the due date. We don’t process automatic payments—you must communicate with us to ensure timely payment. If payment isn’t received by the due date, your reservation is subject to cancellation. We’re not responsible for cancellations resulting from late payments.

16. COMMUNICATION AND EMAIL OPT-IN

By booking with us, you consent to receiving emails from our Agency. You can unsubscribe from marketing emails using the link provided or by contacting us directly.

17. CHANGES TO THESE TERMS

We reserve the right to update these Terms and Conditions at any time. Updated versions will be provided to you, posted on our website, and are effective immediately upon posting.

18. GOVERNING LAW AND DISPUTES

These Terms are governed by the laws of [Your State]. You consent to the exclusive jurisdiction of courts in [Your County, State] for all disputes arising from bookings with our Agency. If any provision is deemed invalid, it will be replaced with the closest valid provision, and the remainder of these Terms continues in effect.

These Terms (and referenced terms) constitute the entire agreement between you and our Agency regarding travel bookings and supersede all prior communications. A printed version of this agreement is admissible in legal proceedings.
